Regular rental operating costs

Common cash expenses include council rates, rental-specific insurance, property management, body-corporate levies where applicable and recurring services paid by the owner. Use property-specific quotes and assessments.

Tenancy Services says landlords should insure the property for rental use and provide required insurance information in the tenancy agreement. Ordinary owner-occupier cover may not be appropriate.

Vacancy, maintenance and compliance

Allow for time without rent, tenant changes, routine maintenance and larger irregular work. A new or recently renovated property still needs a long-term allowance.

All rental homes must meet applicable legal standards, including current Healthy Homes requirements. Obtain property-specific compliance information rather than assuming a generic allowance proves compliance.

Mortgage and cash-flow costs

Separate interest, loan fees and principal repayments. Principal reduces cash in the period but also reduces debt, while interest is a financing cost subject to tax rules.

From 1 April 2025, Inland Revenue states that 100% of qualifying interest can be claimed, provided it is not private and general deductibility rules are met. Obtain tax advice for mixed use, entities and loan tracing.

Tax records and non-deductible items

A cash expense is not automatically deductible. Inland Revenue distinguishes repairs from capital improvements and applies residential deduction ring-fencing and other rules.
